How to Invite Your Team and Choose the Right Role for Each Person

Add teammates to your BulkPublish workspace and give each one the access they need. What the five roles can do, how invitations work, and how many seats each plan has.

Sharing one login is how most small teams start, and it stops working the first time someone leaves or something goes out that shouldn’t have.

BulkPublish gives each person their own account in a shared workspace, with a role that decides what they can do. Everyone sees the same channels, calendar and media library. Not everyone can publish.

The five roles

Each workspace has one owner: whoever created it.

Contributors and approvals

The role that makes a team workflow work is Contributor.

A contributor can write a post, attach media, pick channels and set a time, but can’t publish it. When they finish, the post goes to pending approval instead of the queue. An approver, admin or owner reviews it, then approves it to schedule it or rejects it with a note.

This is how you let a new hire, a freelancer or an intern draft for you without anything reaching your audience before someone has read it.

People who can publish can also send their own post for approval when they want a second pair of eyes.

Choosing a role

Start from the least access that lets someone do their job:

  • A writer or freelancer: Contributor
  • The person who signs off: Approver
  • A co-manager who also handles the team: Admin
  • A boss or client who wants to see results: Viewer

You can change anyone’s role later, so there’s no cost to starting low.

Inviting someone

  1. Open Settings and scroll to the Team card, under your plan and usage.
  2. Enter their email address and choose a role.
  3. Send the invitation.

They get an email with a link to join. If they don’t have a BulkPublish account yet, they create one from that link. If they do, they join with the account they already have, and they can switch between workspaces from the user menu.

Invitations expire after 7 days. You can resend one from the same list, which gives it a fresh 7 days, or revoke it if you sent it to the wrong address.

Free is a single-person plan, so inviting teammates starts on Pro. Pending invitations count toward the limit, so the seat is held for the person you invited.

When someone leaves

Remove them from the Team card. They lose access to the workspace straight away, and what they leave behind is handed to the owner rather than deleted: their posts stay where they are, and anything they scheduled still goes out.

That’s the real advantage over a shared password: when someone moves on, you remove one person instead of changing a password everyone else has to learn again.
