Social Media Approval Workflow in 2026 [Updated Guide]
An approval workflow exists so that the thing which must not happen cannot happen. A post held for approval is not merely flagged, it is kept out of the queue: the scheduler will not pick up a post that is pending or rejected, which is the difference between a process and a convention.

How the approval workflow works
Approval is a state on the post rather than a message about the post. That is what makes it enforceable: there is no path by which a pending post publishes, because the scheduler does not consider it.
- Write the post and submit it for approval instead of queueing it.
- A reviewer opens it and either approves it or rejects it.
- A rejection goes back to the author with the reason attached, so the next version answers the objection.
- Only once approved does the post enter the queue and publish at its scheduled time.

Can an unapproved post publish by accident?
No. Pending and rejected posts are skipped by the scheduler, so approval is enforced rather than advisory.
Does a rejection say why?
Yes. The reason is stored on the post and goes back to the author with it.

That depends on the organization size: 1 person on Free, 3 on Pro and 10 on Business.
Can a client approve without full access?
Anybody who approves is a member of the organization with a role. Roles are what decide who can approve rather than who can publish.
